Publish policies and track who really read them

Publish policies, then see who read, who accepted and who is pending.

Policies live on their own tab in the Docs hub. Publishing notifies the whole team, and every published policy shows an "N of M acknowledged" counter. Opening it reveals each person's reading proof: whether they scrolled the policy to the end and how long they had it open.

Steps

  1. Open Docs -> Policies - Switch to the Policies tab in the Docs hub.
  2. Create and publish - Write the policy (or save it as a draft first) and publish it. Everyone is notified automatically.
  3. Track acknowledgments - Choose the "N of M acknowledged" counter on a published policy. Each acknowledged person shows a state: "Read & accepted" (scrolled to the end and read for at least 30 seconds), "Accepted without reading", or "Accepted (before read-tracking)" for older sign-offs - plus their reading time.
  4. Let reminders chase the rest - Anyone who has not acknowledged the current version of every published policy gets an automatic reminder every 3 days until they do. You do not need to chase people manually.
  5. Revise when needed - Editing a policy's content bumps its version - everyone is asked to read and acknowledge the new version, and earlier attestations stay on record.

Tips

  • Acknowledging is never blocked - the read proof only classifies it, so you can see who signed without reading and follow up personally.
  • Managers and owners acknowledge policies from this same page; employees do it from their Policies tab.
  • Check a person's full policy standing at a glance in the "Policy compliance" section of their profile (People -> open the person).
