Connect your company Google account
Turn on Google Docs and keep shared company files in a Google account the company owns.
For: Owners & admins · Category: Company setup (owners)
Veridox can keep your shared company documents and folders in your company's own Google Drive. People then create and edit Google Docs, Sheets and Slides from Veridox. The company Google account owns every shared file, so the files stay with the company when people leave.
Steps
- Turn on Google Docs - Go to Settings -> Integrations. On the first card, turn on "Allow Google Docs". It is off until you turn it on.
- Pick the right Google account - Use a Google account that belongs to the company, for example documents@yourcompany.com, with 2-Step Verification on. Do not use a personal Gmail account.
- Start the connection - On the "Company Google account" card, choose "Connect company Google account".
- Sign in on Google's own page - Veridox sends you to Google's sign-in page in your browser, outside Veridox. Choose the company account, tick the Google Drive box and choose Allow. You never type your Google password inside Veridox.
- Check it worked - Back in Veridox the card shows "Connected:" and the company address. Within about 5 minutes Google Drive shows a "Veridox" folder with your company folders inside.
- Optional: allow work accounts only - In the same place, turn on "Only allow work Google accounts" and enter your work domain, for example yourcompany.com. Separate several domains with commas (up to 10). People must then connect Google with an address at those domains.
Tips
- Anyone who can sign in to the company Google account can see every company and employee folder in Google Drive. Keep that account for the company only, and protect it with 2-Step Verification.
- Word, Excel and PowerPoint files added to the shared library become Google Docs, Sheets and Slides. The file you uploaded is kept in Veridox as a backup.
- Add files through Veridox, not straight into Google Drive. Veridox cannot see files that someone adds directly in Drive, so it cannot organise or protect them.
- Only Veridox shares company files. If someone renames, moves or shares a Veridox folder or file directly in Google Drive, Veridox puts it back and records it in the activity log.
- The person who connects the account must stay an owner or admin. If they lose that role, the connection pauses and another owner or admin must connect it again.
- With "Only allow work Google accounts" on, gmail.com and googlemail.com cannot be used, and people already connected with another address are asked to reconnect with their work account.
- Turning Google Docs off or never connecting changes nothing else: your folders and documents keep working in Veridox.
